Ownership of items.
Grounded Outdoors Event Hire owns all of the hire equipment and the equipment will remain property or Grounded Outdoors Event Hire at all times.
Booking deposits.
To secure your bookings we will ask for a deposit to secure the date and the equipment that you require. This deposit will vary according to how much equipment you are hiring from us. Bookings are not secured until we have the deposit. We reserve the right to book another event if the deposit has not been received within seven days of invoice. Once we have received the deposit your dates will be secured. Payment of the deposit will mean that you accept and understand our terms and conditions.
Extra fees.
All prices quoted on our site are for 20 miles from Wickham (PO17) unless otherwise stated. Special offers and promotions may have different distances, these will be clearly stated if different to the 20 mile usual distance. Further distances may be charged an extra fee for petrol and time costs. These will be quoted in any quotes asked for.
Outstanding payment.
Grounded Outdoors will require any outstanding payments one month before the date of booking (unless otherwise agreed). Failure to pay the remainder of your fees may result in the hire being terminated.
Damage to hired equipment.
Grounded Outdoors reserves the right to charge a refundable deposit to cover against damages and losses to our equipment. Once we have checked and inspected the hired items for damages and losses we will return your deposit in full if there is no damage. We will endeavour to complete the checks as soon as possible, however during busier periods this may take slightly longer. If we have not taken a damage deposit, we reserve the right to ask you for payment for the price of any damage.
If any games are damaged or lost the cost of the replacement part or game will be deducted from your deposit. If this fee is higher than the deposit you will be invoiced for the balance. This balance is to be paid within 14 days. After 14 days 10% interested will be charged. We reserve the right to take legal action if we have not received any due payments in an acceptable time.
Risk Assessments and usage guide.
Please note that all persons using the games or other hire equipment do so at there own risk. Any lighting equipment hired from us should not be moved or touched once put in place by Grounded Outdoor staff members. Any damage or injuries caused to anyone using our equipment, Grounded Outdoors will not be held accountable for.
The client or hirer will be responsible and liable for any damage or injuries that occur from dangerous or reckless use or misuse.
These guidelines are for the safety for everyone using our game. It is the sole responsibly of the client to ensure that these guidelines are fully adhered to at all times.
No food, drink , Gum or Smoking is allowed near our games or equipment. This will help minimise risk of damage to the equipment or to the users of the equipment. Please note if returning games in an overly dirty condition a cleaning charge may occur. Mini Golf and Skittles will be provided with mats to go underneath them to help minimise dirt.
A responsible adult must supervise anyone under eighteen years of age when using our games and equipment. The client is responsible to ensure that they or someone is in charge of ensuring the equipment is used in a safe way and for its intended purpose. They will also ensure that all soft play equipment is only used by the designed age group and that younger and older children who may hurt themselves or others are not allowed to use it. This will also minimise the chances or items becoming broken.
Grounded Outdoors staff will set up any games or equipment in a place that has been designated by the client to do so. Grounded Outdoors will point out if they feel the place is not suitable. However damages caused by the location of equipment will be down to the client to rectify. Games should be situated with enough space around them to avoid damage to any property. When our games or equipment are set up outside we cannot and will not be held responsible for any damage to the lawns. The client will be held responsible.
Many of our hire-able items are made out of wood. So there is a risk of splinters. Seek medical advice if anyone gets a splinter. Please do not move the portable golf or skittle alley, once put in place by GO staff, to help minimise the risk of splinters or damage to the equipment.
Risk assessment's and our normal operating procedures as well as PAT test certificates are available on request.
Under no circumstances are signs, banners or posters to be glued, taped or hung to any GO Event Hire products at any time during use.
The hirer is responsible for any damage or incurred that has occurred whilst the products are in your possession. It is strongly recommended that you take out Public Liability Insurance whilst you are hiring any products, which covers you in the event of any damage or injury.
You, the hirer, are to ensure that there is a competent and responsible adult to supervise the hired items at all times.
There is to be no foul play on any of the hired items, and the hired items should not be used as swords or thrown at each other. Items such as the crazy golf should not be stood or walked on. Items such as the limbo game should be be climbed or leaned on.
Any items returned in a dirty manner, may incur a cleaning fee.
The hirer is to ensure that extra care is taken with the extension cables and power cables. This is to reduce tripping hazards and to reduce the chance of damage to equipment.
No face paint, Chewing Gum, Sand, Party Poppers, Coloured streamers or Silly String should be taken, thrown or sprayed onto the equipment, these materials permanently stain the material and the hirer will be liable to compensate Grounded Outdoors in the event of damage.
No smoking, bonfires or barbeques near the soft play. No pets, toys or sharp instruments to be near or on the soft play.
All portable appliances will be tested in accordance with the current regulations at yearly intervals.
Weather
Unfortunately we as of yet can not control the weather. We can not offer refunds due to poor weather conditions. We will try and offer alternative activities if you feel the weather is too bad for what you have booked. Or we will be more than happy to move outdoor games inside if at all possible, venue dependant. We recommend to not use any of our activities outdoors if there is a thunder and lightning storm.. We recommend not resuming play until 30 minutes after the last clap of thunder or lightning.
In direct sunlight the soft play can become extremely hot. The soft play when being used outside should be kept in the shade wherever possible. Any injuries or accidents due to the temperature of the items is down to the hirer. It is the hirers responsibility to ensure the items are not too hot to use.
Portable golf & Skittles.
For golf we provide low bounce balls to minimise risks of balls damaging property or people.
Please do not move the courses once they are in position. This will stop them getting damaged, and will reduce your own risk of injury.
Adventurous Activities.
Adventurous activities can be a dangerous activity. Sensible clothing is recommended, including enclosed toe shoes, long sleeve tops and trousers. Instructions must be followed from the instructor. Instructors are all qualified or experienced to run the activity. A risk assessment can be provided on request. The area must be large enough for the activity to be run safely. Please contact us to check venue suitability. 1 Instructor for up to 24 participants maximum.
Archery tag includes the use of bows with foam-tipped arrows, which are shot at the opposing team and targets. Participants should not have had any recent injuries. Archery GB Leader qualification, or sufficient experience and in house training is required to run the event. Protective masks to be worn at all times during active firing in archery tag. Full equipment checks to be carried out weekly. Visual checks taken on equipment before and after any sessions. Ensure an appropriate playing area is marked out. Ensure there is an adequate safety area outside of the gaming area. Full safety briefing prior to any arrows being shot. Safety instructions communicated to all participants. Use of a whistle for commands is acceptable. The instructor or any GO Event Hire staff has the right to stop anyone participating for safety reasons. GO Event Hire has the right to cancel or shorten activity sessions due to weather related reasons. The bunkers in archery tag are to be secured correctly to the playing area when outside. A safe area or safe zone should be marked out for non players, and any players wishing to stop playing.
Any adventurous activities that require liability waiver forms must be signed by all participants and by parents or guardians for anyone under the age of 18. Once the waiver is signed, you are stating that you understand the risks and rules and that you are responsible for the correct safe use of the equipment and you will listen to the instructions from Grounded Outdoors Event Hire staff and information material.
Electronic Equipment
All electronic equipment will have PAT testing taken out at the required intervals. Visual inspections will be taken every time the item is hired out.
Any damages to the equipment by misuse or neglect from the hirer or from anyone whilst the item is out for hire, is the responsibility of the hirer.
The Hutch Pod is very heavy and we can not take it up stairs. If you make a booking and fail to inform us of access issues, then it is not GO Event Hires fault and we retain the right to cancel the booking without refunding any money.
Accidents and First Aid.
All accidents and injuries should be recorded in the First Aid incident log book. Grounded Outdoors will keep any records for 3 years and then destroyed in line with GDPR. Please report any accidents to the GO Event Hire staff that have resulted or involved with any Grounded Outdoors equipment or staff.
All hirers of our equipment should arrange their own first aid cover for their events. This includes but is not limited to all hires that use Grounded Outdoors equipment and staff. Grounded Outdoors will only be responsible for first aid cover if the Event is solely organised by Grounded Outdoors and if Grounded Outdoors has not been contracted by a client to run activities.
Cancellation Fee’s.
We understand that you may need to cancel your event for various of reasons and potentially under very difficult and stressful circumstances, If you cancel your booking the deposit fee is non refundable. If you have paid a damages deposit, this will be refunded. Cancellations that occur 4 weeks or less prior to the event full payment will be required.
Insurance and general
The hirer shall not use the equipment for any purpose other than described in our Terms and Conditions. The hirer shall not sub-hire or use the equipment or allow the equipment to be used for any unlawful purpose or in any unlawful way.
Mr Alan Norgate running as Grounded Outdoors Event Hire (GO Event Hire) has Public Liability Insurance of 2 million pounds, in relation to soft play and event hire equipment. Mr Alan Norgate running as Grounded Outdoors Event Hire (GO Event Hire) has Public Liability Insurance of 5 million pounds, in relation to axe throwing, archery and archery tag. We recommend that you as a hirer purchases your own insurance for your event.
PUBLIC LIABILITY INSURANCE is excluded in its entirety following any claim or injury to any third party or employee whether directly or indirectly related to the use of drugs and/or alcohol. Grounded Outdoors excludes any liability for injury loss or damage caused to any person using the equipment contrary to the terms and conditions of this contract.
